A project can be in one of four states: draft, scheduled to run in an active subscription, paused subscription, or archived. What you can do, and how, depends on which state it's in.
What is the draft state?
A project is in draft while you're still working through the setup wizard, confirming your brand details, product category, personas, topics, prompts, and models. You haven't started a subscription yet, so nothing has been charged and no audit has run.
You can save a draft and come back to finish it later. While in draft, you can freely change any part of the setup, including the brand, product category, location, and language.
What does “scheduled to run in an active subscription” mean?
Once you finalize the setup and start your subscription, the project moves into this state. Starting the subscription charges it and runs the project's first Visibility Audit (formerly known as a report) immediately. From here, the project keeps running automatically on your subscription's schedule (plus any Pulse Audit cadence your plan includes), for as long as the subscription stays active.
What happens if I pause the subscription?
You can pause a project's subscription anytime from that project's Settings page (Project > Settings). While paused, the project stops charging and stops running new audits. You can still view everything the project has already collected, you're just not charged and nothing new runs until you resume it. Unpausing triggers a new run.
What happens if I archive a project?
Archiving moves a project out of your main Projects list, though you can still find it with the Show archived toggle. See our Help Center article on archiving a project for the full details on what archiving does and how to reverse it.
What can I still change once a project has run?
Once a project has run, its brand, product category, location, and language are locked in. These are set at creation and can't be edited afterward: if you need a different one, you'll need to start a new project.
Personas, topics, and prompts are different: you can still edit these after a project has run. Changes take effect on the next scheduled run, not immediately, since there's no way to manually trigger a run early.
Why does the state matter?
Knowing a project's state tells you what to expect: draft means nothing has run yet and everything is editable, an active subscription means it's running and billing on schedule, paused means it's stopped but not charging, and archived means it's tucked out of your main view and not charging you. Foundational details (brand, product category, location, language) are locked in once a project has run at all, while personas, topics, and prompts stay editable throughout.
