In Gumshoe, you decide who can see and change your work. Access is set at two levels, and each person's role controls what they can do once they are in. Here is how the levels and the roles fit together.
What are the two access levels?
You can grant access at the company or workspace level.
- Company account access: the person can see and work across every workspace under your company account. This is the right choice for your core team.
- Workspace access: the person can see and work in only that one workspace. Use this to keep someone, such as a client or a single team, limited to the workspace you choose.
For how company accounts, workspaces, and projects fit together, see this article.
What are the team member roles?
At either level, a person's role sets what they can do.
- Admins have full control over what they can access, including inviting others and managing billing.
- Members have employee-level access. They can create Visibility Audits (formerly known as reports) and content, but they cannot view or update billing, invite other team members, or move projects between workspaces.
- Viewers can see everything in the workspace but cannot make changes. Viewer is a workspace-level role only, so there are no Viewers at the company account level.
Who can invite people and manage billing?
Only Admins can invite new team members and manage billing, and billing is handled at the company account level. Members and Viewers cannot invite others or change billing.
What access should I give someone?
A quick way to decide:
- Core team who needs everything: give company account access.
- Someone who should only work on one client or brand: give workspace access to just that workspace.
- A client or stakeholder who should see results but not change them: add them to their workspace as a Viewer.
